Ask a gestor what they file, who signs, who answers the tax office and what the fee covers. Expatronus lets you compare several. Updated October 2026.
This guide is for anyone in Spain, or about to be, who has been told to "get a gestor" and does not know what to ask first. By the end you will have a short list of questions, an idea of what a good answer sounds like, and a sense of when the answer is a reason to keep looking.
What does a gestor actually do, and what sits outside the job?
There is a third point that surprises people. When a gestor prepares a form, it is still you who signs it. Expat guides written by people who have used gestorías say the same thing: the declaration is yours, and so is the responsibility for it. That is why the questions below are about scope and communication, not only about price.

A good first call is short and specific. You describe your situation once, the gestor tells you which parts they would handle, and you leave knowing what happens next. If you cannot repeat that back in two sentences afterwards, ask again before you sign anything.
Which questions should I ask a gestor before hiring them?
These eight questions cover most of what goes wrong later. Each row gives the question, what a clear answer sounds like and what should make you pause.
- 1. Which exact filings or procedures will you handle for me? A clear answer names the forms or procedures and says what is left to you. Pause if the answer is "everything" with no list.
- 2. Who signs, and who submits? A clear answer explains that you sign your own declarations and the gestor submits them or prepares them for you. Pause if nobody can say who is responsible for what.
- 3. How will you act for me in front of the administration? A clear answer mentions how your authorisation is given and recorded. Pause if they ask for your online access codes instead of using a proper authorisation.
- 4. Are you registered with a colegio de gestores administrativos? A clear answer gives a registration you can look up. Pause if the answer is vague or the registration cannot be found.
- 5. Does your professional liability insurance cover this work? A clear answer is a plain yes and the name of the insurer on request. Pause if the question is brushed aside.
- 6. What does the fee include, and what is charged separately? A clear answer separates the fixed part from extras such as copies, translations and registry fees. Pause if the fee only appears after the work starts.
- 7. Who writes to me when the tax office or another body sends a letter? A clear answer says whether the service covers replies and how fast they usually respond. Pause if letters are described as "a separate matter" without terms.
- 8. Have you handled a case like mine, and in which language will we work? A clear answer gives a similar example without naming a client, and confirms the language of documents and calls. Pause if every case sounds identical.
How do I check that a gestor is registered?
Ask for the registration details in the first email. A registered gestor expects the question. If the answer is slow or evasive, that is information too. Registration tells you the person is part of the profession; it does not tell you they are the right fit for your case, which is why the other questions still matter.
What should be agreed in writing before work starts?
- The procedures or filings included, and the ones that are not.
- Who prepares, who signs and who submits each document.
- How your authorisation to act for you is given and for how long it lasts.
- How the fee is structured, what triggers an extra charge and when each part is due.
- How to end the arrangement and what happens to your documents when you do.

How do gestor fees work, and what should I ask about them?
Gestor pricing is not one national tariff. The national council publishes fee scales that it describes itself as merely indicative, so what a gestoría charges depends on the firm, the city and the kind of work. We do not quote amounts here, because they change and they depend on your case.
What you can compare is structure. Ask whether the price is per filing, per quarter or a monthly arrangement. Ask what is included in a recurring service, such as the quarterly tax filings of a self-employed person, and what counts as extra work. Two quotes with the same total can cover very different amounts of work.
What are the red flags when hiring a gestor?
- No clear list of what is included, only a promise that they will "sort it all out".
- A request for your personal access codes in place of a proper authorisation.
- Reluctance to give registration details or to confirm professional liability insurance.
- Advice that sounds like a legal opinion on a contested point, when the job is paperwork. That is a lawyer's territory.
- Slow replies before you have hired them, which rarely improves afterwards.
- A suggestion to leave income or assets out of a filing. Walk away from that one.
When do I need a lawyer or a tax advisor as well?
Often a gestor is enough for routine registrations and recurring filings. You may need a second professional when the question is a judgement rather than a filing. A refusal or an appeal belongs with a lawyer. A question about how your income is taxed across two countries belongs with a tax advisor. Many people end up with two professionals who each stay in their lane, and a good gestor will tell you when a case is outside theirs.
How does comparing gestores work on Expatronus?
You describe your case once in the case wizard. Independent specialists who are interested send an initial estimate, and sending the estimate opens the chat. You talk through the scope, ask the questions above, and when you accept an official offer the case belongs to that specialist. You pay them directly, at their own rates. The point of the wizard is that every specialist starts from the same description, so their answers are easy to compare.
What should I prepare before the first call?
- A two sentence description of what you need done and by when you hope to have it done.
- Your situation in one line: resident or not yet, employed or self-employed, which city.
- The documents you already have, listed rather than scanned all at once.
- The eight questions above, written down, with space for the answers.
- A note of what you will still do yourself, so the scope is clear from the start.
Frequently asked questions
What questions should I ask a gestor before hiring them?
Ask which exact procedures they will handle, who signs and submits, how they act for you with the administration, whether they are registered, whether their liability insurance covers the work, how the fee is structured, who answers official letters and whether they have handled cases like yours.
Do I need a gestor or a lawyer?
A gestor handles administrative filings and registrations. A lawyer handles legal judgement, appeals and court representation. If you are unsure which your next step is, describe the step and ask both what they would do. The answers usually sort it out.
How do I find a trustworthy gestor in Barcelona as a foreigner?
Start with the public search tool of the national council and the colegio that covers your province, then ask each firm the same questions about scope, signing and language. Personal recommendations from other foreigners help, but they should lead you to the questions, not replace them. You can also compare several gestores at once through the Expatronus case wizard.
Can a gestor represent me in front of the tax office?
A gestor can act for you before administrations when your authorisation is valid and recorded. The administrative procedure law says representation must be shown by a means that leaves reliable proof. Ask your gestor how they handle it.
Do I stay responsible for what the gestor files?
Generally yes. The person whose declaration it is signs it, and guides written by foreigners who have used gestorías stress that the responsibility stays with you. That is a good reason to read what you sign and to ask for copies of everything submitted.
Should I ask for several quotes?
Yes. Comparing the scope, communication and structure of two or three offers shows you what each firm actually includes, which a single quote cannot.
